Venue

The meeting will be held at the School of Agriculture (Kita 9, Nishi 9, Kita-ku, Sapporo) and the Conference Hall (Kita 8, Nishi 5, Kita-ku, Sapporo) of Hokkaido University.

Eligibility

Attendance

  • Both JFS members and non-members may attend the meeting.
  • All attendees, including invited speakers, must pay registration fees in advance.
  • The public symposium is free of charge.

Presentations

  • Only JFS members may present.
  • Non-members who are planning to present must pay membership and registration fees by January 14, 2025. A JFS member ID will be provided as soon as payment is confirmed by the administrative office.Click here to join.
  • Non JFS members cannot present, aside from speakers invited to present at the planning symposia.
  • Presentations must be delivered by the first author. Other authors cannot present on behalf of the first author.
  • Aside from the awards lecture, presenters may only be the first author of a single presentation.

Registration

Registration and fee payment can be completed via the meeting-registration system.

Members who plan to present must apply via this system at the time of registration.

Non-presenting attendees must register and pay the registration fee in advance via the system. The deadline for early bird registration is January 31, 2025. Undergraduate students who will not give presentations may attend free of charge but still need to register.

  • JFS members must provide their JFS ID upon registration. See Eligibility.
  • Registration fees may be paid by credit card (strongly recommended) or by postal transfer. Presenters should complete their payment by 5:00 pm on November 20, 2024. If payment has been confirmed by the administrative office until the abstract submission deadline (January 14, 2025; see Submitting and viewing abstracts), abstracts will not be accepted. Other attendees should complete their payment by 5:00 pm on March 22, 2025.
  • Only payment by credit card will be accepted after February 21, 2025.

  • Issuance of a receipt may be requested through the registration system.

Applying to present

Members may apply to present through the registration system. The application deadline is 5:00 p.m. on November 20, 2024.

Applications to present will be cancelled in the event that payment of registration fees is not confirmed by the administrative office.

Sessions, Planning Symposia, and Side Events

Outline

  • The meeting will comprise 14 regular divisions and 6 open call sessions. The regular divisions include both oral and poster presentations. The open call sessions will include primarily oral presentations, but some will also accept poster presentations. Presenters must choose a division or session in which they would like to present and either oral or poster presentation in it; however, chosen division (or session) and presentation methods are subject to change by meeting staff.
  • Ten planning symposia are planned. Only invited speakers may present in the symposia.
  • Authors, affiliations, and presentation titles cannot be changed after 5:00 p.m. on November 20, 2024. Authors should communicate in advance regarding these details with their co-authors, or with their supervisors in the case of students.

Sessions, Planning Symposia, and Divisions

Side Events

Submitting and viewing abstracts

  • Abstracts must be submitted by 5:00 p.m. on January 14, 2025, via the registration system. Abstracts cannot be submitted until payment of the registration fees has been confirmed by the administrative office.
  • The body of the abstract may be up to 1000 bytes, including special characters (italics, subscripts and superscripts, Greek letters and so on such as “<i>” and “</i>”). Note that length limits are not based on word count. Figures and photographs are not accepted.
  • A PDF compilation of all abstracts will be available for download from this page approximately 1 month before the meeting.
  • At the same time, a system for searching presentations will also be opened.

Presenter instructions

(1) Oral presentations

  • Each presenter will be allotted 15 minutes (12 minutes for the presentation and 3 minutes for questions).
  • Presenters will give their presentations using PowerPoint or PDF files saved on a Windows PC set up in each room.
  • After several presentations, the chair may allow time for a general discussion or a break (maximum 15 minutes).
  • Presenters are not allowed to use their own PCs for their presentations.

(2) Poster presentations

  • All poster presentations will be conducted online. Applicants can also make a presentation at the on-site venue, however, due to venue capacity, we may limit the number of posters displayed at the on-site venue.
  • Poster file format for online presentations: Poster files must be submitted in advance. The file format should be PDF (A4 portrait) and the file size should not exceed 20 MB. Video files with sound cannot be used.
  • Presentation method: Poster files submitted in advance will be displayed on the conference’s online platform. During the conference, the poster files will be available for on-demand viewing by conference participants.
  • Q&A session: Q&A session via chat will be available during the poster display period (Student Poster Award applicants must be available for questions during the judging period).
  • Poster display at the on-site venue (limited capacity): In addition to the online presentation, posters can be displayed at the on-site venue. Posters will be displayed on panels, and presenters will answer questions as appropriate. The size of the posters for on-site display should be A0 portrait (841 mm (W) x 1189 mm (H)). During the display period, time will be reserved for Q&A sessions at the venue (during the time when there are no oral presentations). Please note that there is a limit to the number of posters that can be displayed at the venue, so posters will be accepted on a first-come, first-served basis (priority is given to students).
  • (Important) Please note that all posters will be made available online to the conference participants (you cannot withdraw from the online viewing).
  • (Important) Please note that even if you display your poster at the in-site venue, it will not be officially counted as a conference presentation, if the poster file has not also been uploaded to the conference’s online platform.

(3) Planning symposia

  • The coordinator will be responsible for managing the presentation within the maximum time frame of 3 hours. Presenters are requested to follow the coordinator’s instructions.

Student Poster Awards

Student registrants who are first authors of posters may apply for Student Poster Awards at the time of registration.

Childcare support

Child care service will be available at the venue for children aged 0—12 (6th grade at elementally school). Pre-registration is required. The number to be accepted will be 10.
The service will be provided by professional caregivers, NPO Petit Tomato of Child Care Supporters. All costs will be covered by JFS.
